How long does it take to review my personnel file?

Personnel file reviews are scheduled on Thursdays – 9:00 a.m. – 3:00 p.m. (excluding holidays).

What is the turnaround time for file reviews?

Upon receipt of your request form, you will receive a response within one (1) to (3) business days.

How often can I review my file?

Employees may review their personnel file once every six (6) months.

Can I obtain a copy of my resume or other information from my file?

Yes

Is there a fee to obtain copies from my personnel file?

There is a .10 fee per page for copies.  However, there is no cost for electronic copies.

Can I pay the copying fee online?

No, unfortunately this service is not available at this time.  Copies of personnel files may also be emailed.  There is no fee for receipt of electronic copies.

What If I live out of state, can I receive a copy of my file?

Yes. Prior to receipt of the requested personnel file, proof of valid identification must be submitted along with payment of copying fees.  You may also elect to receive the file via e-mail.

Who can review my file?

An employee may review their personnel file.  In addition, auditors, Law Department personnel and authorized Human Resources staff may request to review your file.

Who can request a copy of my file?

With an employee’s written authorization, the contents of the personnel file may be released to a third party.

City of Detroit employee ID or Government issued ID

Do I need to set up an apointment to review my file?

Yes

Will my information be shared with anyone?

Only authorized personnel have access to employee files

How long are personnel files kept with City of Detroit?

In accordance with the City of Detroit Record Retention Schedule, the City of Detroit Human Resources Department maintains active employee personnel files throughout the duration of their employment.  Inactive personnel files are kept for a maximum of six (6) years.
